The situation
St. Nicholas Parish (name changed) had roughly 400 active members and a separate children's list in Excel. Membership renewals, donation envelopes, and SMS reminders were handled manually. Treasurers spent hours matching PayPal payments to names each month.
What they needed
- One member database staff could search and trust
- Children's records linked to families but excluded from membership billing
- Payment and collection types matching parish vocabulary
- Bulk SMS for renewal reminders and queued email for newsletters
- PayPal membership and donation links without members logging into admin software
What changed with Eden Admin
Historical members, payments, and collections were imported during a one-time setup project. Office staff now register changes in Eden Admin; reports pull from the same parish records used for SMS and pay links.
Renewal season uses membership pay links sent by email. Ad-hoc building-fund appeals use open-amount donation links. Each online payment creates a receipt and updates the member record automatically.
Results
- Fewer duplicate contact entries and fewer payment matching errors
- Renewal SMS sent to filtered lists by expiry date instead of manual mail merge
- Treasurers reconcile PayPal against Eden Admin payment reports
- Multi-user access with audit trail on sensitive record changes
